Improving Official Document Quality and Strengthening Archives Management — Official Document Training for the Second Half of 2026

To improve the quality and efficiency of official documents and reduce system operation problems related to official documents, the Secretariat of our school specially held two official document training sessions during the summer vacation for the second half of 2026. This workshop was held on August 5th and 7th, 2026, from 9:00 AM to 10:00 AM in classroom 1C of the teaching building. Participants included staff and research assistants from various departments who handle document processing. The workshop began with an opening address by Tian Mu, Secretary to Director Tsai. He reminded staff of document formats, terminology, and common errors, and specifically emphasized that all second-level supervisors must fulfill their responsibility for document quality supervision, ensuring the accuracy, rationality, and completeness of document content. Furthermore, he stressed that documents revised by supervisors at all levels should be compiled into document templates for reference by their subordinates to prevent the recurrence of the same errors. The effectiveness of document quality supervision will be included in the performance evaluation of second-level supervisors to continuously improve the quality of official documents and administrative efficiency within the university. During the meeting, the business personnel explained the common deficiencies in the monthly document audit and reminded the branch offices of the procedures for handling issues such as failure to submit documents for archiving, changing the speed of documents, and extending the deadline. This helped all users of the document system to get started quickly and avoid repeating the same mistakes. The document management section focused on explaining the regulations for handling confidential documents, the archiving process, and the archiving list. To enhance the effectiveness of the training and expand its impact, the training report has been posted on the school's electronic bulletin board system and the Secretariat's website under the "Self-Study Zone for Professional Development" for all staff to access and review. By establishing regular learning resources, this initiative helps staff become familiar with document processing standards and file management procedures, improving document processing quality and administrative efficiency, and effectively reducing errors.
