Strengthening the timeliness of official documents and improving the preparation for archival evaluation — Official document training in the first half of 2026

To improve the quality and efficiency of official documents, reduce system operation issues related to documents, and minimize errors in archived cases, the Secretariat held two document processing workshops during the winter break for the first half of 2026.
These two workshops were held on January 12th from 10:00 AM to 11:00 AM and January 14th from 3:00 PM to 4:00 PM in Classroom 1C of the Teaching Building. Participants included colleagues from various departments within the university who actually handle document processing, as well as research assistants. The workshop began with an opening address by Tian Mu, Secretary to Chief Executive Tsai, who highlighted document format and common error examples. He specifically reminded colleagues not to repeat the same mistakes and to re-archive the changes made by superiors to avoid continuously copying incorrect versions. He also emphasized that document quality and timeliness affect the university's performance evaluation ratio. Furthermore, in preparation for the Ministry of the Interior's upcoming assessment of archives management, colleagues were reminded to strictly comply with archives management regulations to ensure the university achieves excellent results and successfully passes the Ministry of the Interior's assessment.
During the meeting, staff responsible for document processing explained key points regarding document timeliness, newly implemented regulations for this year, common omissions, and reminded branch offices of procedures for handling documents that cannot be submitted for archiving, changing courier rates, and extending deadlines. This helped all users of the document system quickly get started and avoid repeating mistakes. The document management section focused on explaining regulations for handling confidential documents and archiving procedures.
To maximize the effectiveness of the training, the training summary was reposted on the school's electronic bulletin board system and the Secretariat's website's self-study section for professional development, allowing colleagues unable to attend in person to learn independently. This aims to reduce errors in document processing and provide quick solutions to problems. Through this training, it is believed that colleagues will have a better grasp of document timeliness and quality, and will be able to comply with relevant document management regulations and procedures.
