2023 summer semester workshop on official document operations

To enhance the understanding and proficiency of document processing among colleagues from various departments, our school held the 2nd document seminar for the 2023 year at the beginning of the new semester. The aim is to improve the quality and efficiency of document processing throughout the school.

The seminar was held on July 28rd and 31st, and was open to colleagues from all departments (departments and institutes) who handle document processing, as well as research assistants. The opening speech was delivered by chief secretary, Hsien-Leh Zheng, who emphasized that mastering the skill of government document processing not only requires understanding the rules and regulations but also adapting to local practices. This is the key to success in the public service career. The Head of the Secretariat's Document Processing Team and staff then reported on important government document promotion matters, common deficiencies and requirements for document quality, efficiency, and filing. They also reminded daily operators, document registration desks, and supervisors to check the interface and follow the simple operating procedures to assist all users of the government document system to quickly familiarize themselves and avoid making repetitive mistakes.

To expand the seminar's ongoing effects, the seminar presentation was also transmitted through the school's electronic announcement system after the event. Colleagues who were unable to attend the seminar were encouraged to take advantage of the opportunity for self-learning. In addition, commonly used case templates for research assistants were provided to help colleagues no longer feel frustrated with government document processing.
